Prozence mobile app — Privacy policy
This policy covers the Prozence app for iOS and Android, developed by Prozon Kurumsal Teknoloji Çözümleri A.Ş. ("Prozon"). Prozence is a corporate workspace that companies provide to their employees (digital business card, attendance, requests, announcements and similar tools). When first opened, the app asks for your company address and then opens your company's Prozence service.

Who is responsible for your data
Personal data processed through the app is controlled by the company that created your account (usually your employer). Your company decides which modules are enabled, who can see what and how long records are kept. Your company's privacy notice explains these details.
Prozon provides the software to companies. The app itself does not send your personal data to Prozon. If your company uses Prozence at an address hosted by Prozon, Prozon processes the data on behalf of your company.
What the app accesses on your phone
- Company addresses: the company addresses, names and logos you save are stored only on your device.
- Sign-in: your session is kept with a session cookie on your company's server. Google or Microsoft sign-in opens in the system browser and returns to the app with a single-use code.
- Camera (optional): to scan business cards, read QR codes and add photos. A photo is uploaded to your company's server only when you send it. On Android the app's temporary copy is deleted after one hour.
- Photos and files (optional): only the file you choose, for example a receipt or a document.
- Contacts you share (optional): when you choose Share → Prozence on a contact in your phone's contacts app, only that contact card (vCard) is passed to the app and added to your customer directory on your company's server. The app does not read your contact list. On iPhone the card waits in the app's own storage until you open Prozence and is deleted after one hour at the latest.
- Microphone (optional): only while you record a voice note for a customer record.
- Location (optional, only while the app is open): read once when you check in or out, to confirm that you are at the office, and sent to your company's server with that record. The app does not collect location in the background.
- Wi-Fi: when you check in or out, the name (SSID) and access point address (BSSID) of the connected Wi-Fi network are read and sent with the record so that the office network can be recognised.
- Notifications (optional): your device's notification token and platform are registered on your company's server. When you turn notifications off in My profile → Notifications, the registration is deleted from the server.
Data in your company's Prozence service
Your profile, attendance records, requests and other content are processed on your company's server according to the modules your company has enabled. For details, rights requests and corrections, contact your company.
Third parties
- Google Firebase Cloud Messaging (Android) and Apple Push Notification service (iPhone) deliver notifications.
- Google and Microsoft handle sign-in if you choose those options.
- OpenStreetMap map tiles are loaded when you open a location map; your IP address is visible to the map server.
- Integrations your company enables (for example Google Workspace, Microsoft 365, HubSpot, or AI-assisted business card scanning by Anthropic) receive only the data needed for that integration, under your company's settings. If your company turns on content translation, the text of announcements, Wiki articles and Team Square posts and comments is sent to Anthropic (USA) to be translated into your app language; the translation is stored in the app, not with Anthropic. If your company turns on "Ask the Wiki", your question and the related parts of Wiki articles and policies you can see are sent to Anthropic (USA) to produce the answer; who asked is not recorded, and if your company chooses to, questions that could not be answered are kept without your name for 90 days.
The app contains no advertising, advertising identifier, analytics or tracking SDK. Your data is not sold.
Retention and deletion
Company addresses on your device are removed with "Change company" or when you delete the app. Your account and the records on your company's server are kept and deleted under your company's retention rules. Accounts are created and closed by your company; to have your account and data deleted, contact your company's administrator or use your company's data protection request page.
Security
The app connects only over HTTPS and opens only Prozence addresses (prozon.net and prozence.com). Other links open in an in-app browser.
Children
Prozence is a workplace app and is not intended for anyone under 18.
